New Program! Document Management Specialist

The Document Management Associate is responsible for performing ingestion of documents into PharmaCord document management system, OnBase ™ and the data entry of ingested documents into CORscend. The position is directly accountable for ensuring all documents are ingested and entered in a timely, accurate and efficient manner per the work instructions and client service level agreements.

A typical day in the life of a Document Management Associate will include the following:

The Document Management Associate (DMA) responsibilities include, but are not limited to the following:

Document Management

Ability to categorize documents into Onbase ™ based upon document type received and pursuant to specific Program rules and work instructions

Escalation of incomplete and urgent documents to the Supervisors in accordance with Program rules and work instructions

Escalated communication to Supervisor at any time that Onbase is out of service

Escalated communication to Supervisor at any time that a material increase of documents are received in queue so that the Supervisor can develop a plan to assist DMA with timely entry

Data Entry

Accurate and efficient documentation of data from documents within CORscend in accordance with Program rules and work instructions

Review and identification of information that is missing and/or incorrect within documents pursuant to Program rules and work instructions

Communication of observed trends of missing information or other instances of non-conforming materials

Reporting of Adverse Events/ Product Complaint inquiries received in accordance with PharmaCord client standard operating practices

Other duties as assigned by manager

Requirements:

Bachelor’s degree in arts and sciences, social work, public health administration or a related field strongly preferred

Ability to type 35 WPM with 97% accuracy is required

Healthcare insurance knowledge, background or experience is a plus

Ability to work a set 8.5-hour shift between 8 am to 8 pm, Monday to Friday

Bi-lingual in English and Spanish or Chinese/Mandarin is a plus

This is an office-based position, the ability to sit for extended periods of time is necessary

Although very minimal, flexibility to travel as needed is preferred

All employees working onsite in a PharmaCord facility are strongly encouraged to be vaccinated against COVID-19

We are located in the River Ridge Commerce Center at 150 Hilton Drive, Jeffersonville, IN. You must be willing to work in this location; PharmaCord does reimburse for tolls if applicable, at the frequent user rate. This rate is applied after 40 trips per month (valued at $624.00 per year)

While performing the duties of this job, the employee is regularly required to talk or hear. The employee is frequently required to sit, use hands to type, handle or feel; and reach with hands and arms. Must be able to type 35 WPM with 97% accuracy.

Work Schedule & Environment

This is a full-time position. Standard shifts fall between our business hours of 8am to 8pm and will depend on business need.

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, etc.

Due to investment in program specific training, candidates are expected to maintain role for a minimum of 6 months to 1 year, especially within a client-facing role, prior to being considered eligible for lateral or promotion level move.
