Introduction
CIMA or B.Com (Acc)

Job Specification
 Responsible for financial and operating activities of the Namibian subsidiaries.  Ensure effective and efficient financial operation of the above departments. Liaise closely with managers of the various operation departments, clearing agents and Government Departments relating to financial and costing matters.  Assist Namibian branches and depots in the financial and costing activities of the operating system and to provide support.
Must have good knowledge of large ERP systems.Must be able to interact well with management, peers, Internal and External Auditors. Must have advanced Excel experience.Must have theoretical and practical knowledge of relevant statutory legislation and other external agreements. Must have knowledge of company policies and procedures. DESCRIPTION OF TASKSKey Performance Indicators 1.    Work in Progress/Inventory·         Ensure all costs are GRV’d timeously for Work Orders and Parts.·         Monitor and report on ageing of WIP.·         Ensure Work Orders are closed timeously.  2.   Intercompany Loan Accounts·         Ensure all invoices are processed for Work Orders and Parts transactions.·         Ensure all Intercompany Loan Accounts are reconciled on a monthly basis.

    Trade Receivables

·         Overall control of the debtor’s age analysis.·         Control cash and bank balances.·         Monitoring of the present controls and assist in introducing improved controls as and when required.·         Ensure that the company's books of accounts are accurate and up to date at all times.

    Trade Payables

·         Authorise credit applications for suppliers.·         Negotiate settlement discounts with suppliers and authorise early payments when additional discount is granted. ·         Monthly review and authorisation of all creditors’ reconciliations.

    Bank and Cash

·         Monthly review and authorisation of all bank reconciliations·         Daily clearing of GL Bank control accounts

    Vat  and Tax(including Import Vat)

·         Control VAT returns for Namibian Companies, both Import & general Vat.·         Perform monthly / Bi-monthly Vat reconciliations for both companies.·         Monthly Tax calculation

     Monthly financials pack

·         Complete management accounts each month.·         Preparation of monthly financial pack for RSA·         Financial pack to be inclusive of:·         Income statement;·         Capacity Costs/recoveries variance analysis·         Balance sheet;·         Cashflow forecasts;·         CAPEX·         Preparation of all statutory accounts

    Fixed Assets

·         Maintenance of asset register·         Monthly depreciation journal      EQUIPMENT / MACHINE RENTALS ·         Control machine rentals and maintenance agreement thereof monthly.·         Present management with a summary review each month.·         Ensure that all equipment costings are processed timeously.·         Review all equipment costings and analyze margin performance.  PETTY CASH ·         Overall control over the petty cash. TRAINING·         Train staff in the correct methods of carrying out their duties.·         Review employees' training requirements in conjunction with the employee.·         Make recommendations and implement such after discussion with CFO REPORTS AND BUDGETS ·         Ensure the timeous and accurate preparation of the monthly Management and Financial Accounts for review and final report by the CFO. ·         Prepare in conjunction with the Area Manager the annual strategic plan for the company. ·         Prepare the budget working paper for all branches and distribute for the Branch Manager's input. ·         Consolidate all the budgets into a Group Budget for review by the Area Manager.·         Make recommendations to the Area Manager and respective managers when they are not operating within their budget parameters.·         Ensure that weekly sales and branch contribution reports are prepared and distributed to various managers.·         Liaise with managers regarding the interpretation of the above reports. ·         Assist in the preparation and input of the Namibian input for the Year End packs to Komatsu Ltd.·         Provide detailed management analysis on all elements of job costing, i.e. labour productivity analysis, margin maintenance, mileage recovery, expenditure recoveries, etc ·         Liaise and assist individual branch managers in the interpretation and utilisation of the reports. ·         Reconcile and control the Free Service and Warranty systems (within the financial context) and to liaise with Warranty Controller.·         Provide detailed management analysis on all elements of inventory holding, i.e. stock turns variance against plan, stock movement, obsolescence analysis, stock evaluation, Moving Average stock valuation etc.·         Liaise with National Parts Manager in the interpretation and utilisation of these reports.·         Review long outstanding goods in transit report and take corrective action. ·         Prepare monthly income statement to assist senior management in assessing company performance.·         Complete month-end sales analysis by Branch and Agency.   AUDITS ·         Liaise with both internal and external auditors and prepare year accounts in preparation for the annual audit.·         Assist the external auditors in their year-end audit.·         Review their audit comments and take action if necessary. STAFF PEFORMANCE APPRAISALS

    Conduct the year-end appraisal review and take corrective action if required.

 IMPORTS / EXPORTS

    Ensure import and export documents pertaining to parts to and from Namibia are processed timeously.
    Ensure that all statutory requirements (VAT/Customs Regulations) are adhered to.
    Ensure that you are abreast of the latest developments and report on any deviations from above regulations in order to minimize risk and take necessary corrective action.

 GENERAL

    Travel to the Branches on a quarterly basis and review records.
    Make recommendations and changes if required.
    Action and reply to all financial queries received from RSA.
    Embark on special projects as requested by Top Management
